Cabins of Gatlinburg is striving in making sure that your vacation or family gathering in the Smokies (Gatlinburg & Pigeon Forge) is a pleasant and memorable experience and in order to minimize the questions/problems you might encounter we have created this detailed policy statement. We highly recommend reading the entire enclosed policy/information in order to avoid any confusion or misunderstanding.

All cabins are not created equally so when you are shopping for a cabin to stay make sure that you compare apple to apple. Our cabins are premium, well equipped in a great location at a fantastic price. Do not let the low prices scare or worry you. We rent for less so that in today’s market we can fill up the cabins, it is a business decision and has nothing to do with the overall condition and/or location of the cabins. Our cabins are within the city limit or a short distance from Gatlinburg or Pigeon Forge. Rates Rates

Reservations may be made up to a year in advance. There is a two-day minimum stay all throughout the year excluding holidays and/or special days. As stated above Do not let the low prices scare or worry you. We rent for less so that in today’s market we can fill up the cabins, it is a business decision and has nothing to do with the overall condition and/or location of the cabins. Our cabins are within the city limit or a short distance from Gatlinburg or Pigeon Forge. Please Note : No arrivals are allowed on Thanksgiving, Christmas Day or New Year's Day.

Making Your Reservation Making Your Reservation

To reserve a cabin or a chalet at anytime, simply use our SAFE, SECURE and CONVENIENT Online Booking Form or you may call our office toll free at 1-800-251-997. Please be advised that reservations taken via telephone are subject to a nominal processing fee but this fee is waived for all bookings completed and confirmed via our Online reservation system. Should you choose to book via telephone; please have your credit card, the dates of your arrival & departure as well as your property requirements available when you call. All reservations require a valid Credit Card. After your reservation is completed we will immediately E-mail you a confirmation letter outlining the arrival date, departure date, copy of the policy and all pertinent charges. Please review your venue and if there are any errors please notify our office immediately, we will be glad to correct your venue. Please Note: for any and all future changes in venue refer to the cancellation policy.

Cleaning Service Fee Cleaning Service Fee

The cleaning fee subsidizes the overall cleaning of the cabin: sweeping, mopping and cleaning the floors, dusting, sanitizing the kitchen(s) and bathroom(s), professionally laundering the linens and towels, re-making the bed(s), setting up the bathroom(s) with towels and paper products, draining, sanitizing, re-filling and checking the chemical balance of the outdoor hot tub (Please use it at your own risk) among many other duties to insure the cabin is clean and ready for your arrival.

Bears and Wild Life Bears and Wild Life

Under NO circumstance feed the bears or any wild life. It is against the law and you could be ticketed by the park ranger.

Hot Tub Hot Tub

It is important to note that there are certain health risks that are associated with the use of spas, saunas, hot tubs and swimming pools. Proper use of hot tub and/or jetted tub is at the discretion and sole responsibility of the registered and non-registered Guest(s). It is the responsibility of the registered guest to inform anyone using these facilities. The Hot Tubs are cleaned and sanitized after each check out. The instruction in how to use the hot tub will be provided via the direction e-mail two weeks prior to your arrival.

PET CARE (For pet friendly cabins only) Pet Care (For pet friendly cabins only)

No more than two (2) pets are allowed in pet approved vacation homes. We require a $35.00 for one and $55.00 for two non- refundable fees to cover the extra clean up. This charge does not cover any damages caused in excess of the fee. (More than 2 pets please contact our office for owner’s permission). Please make sure that there is a constant supervision for the safety of your pet as well as the protection of the cabin. We do not and can not allow pets in vacation homes that do not accept pets.
Registered guest(s) assume(s) all responsibilities.

House keeping House keeping Services

All our homes provide bed linens, two towels per person and hand towels along with starter supply of paper towel and toilet paper. The cabin is cleaned and hot tub is drained, refilled and sanitized. The beds (except sofa beds) are made prior to your arrival. The daily maid service is not provided and guests are expected to launder the towels, etc., as needed during their stay. You can request a housekeeping service or extra towels during your stay at an additional charge.

Fireplace Fireplace

The majority of our cabins are equipped with gas, wood burning or electric fireplace(s). In homes with wood burning fireplace(s), due to newly adopted insurance regulations the guest must supply the firewood. In homes with gas fireplace(s) the tanks are either filled or pipelined to the home. Please check the amenities list of each cabin.

Sleeper Sofa/Roll Out Bed Sleeper Sofa/Roll Out Bed

Please be advised that Sleeper Sofas, Sofa Beds and roll away beds are generally recommended for children and not adult use. The sleeping sofas/ roll away beds are fragile and are not recommended for adults. We do our best to insure that the sleeper sofa(s) are in good working condition so please use your own discretion.

Furnishings Furnishings

The rental Cabins/Chalets managed by ARCR are privately owned and are decorated and furnished to suit the owner’s taste and needs, do not assume or take for granted that a vacation home has all the amenities you require, the following items are some ( NOT All ) of the basic amenities you will find in all of our rental homes: A.C., Refrigerator, stove, dishwasher, toaster, coffee maker, basic pots and pans, dishes, Flatware, utensils, TV(s), DVD(s) VCR(s) (As Listed), fire and smoke detector(s), bed linens, Pillows, towels, washcloths, paper towel(s) and paper products paper to meet the Cabins maximum occupancy.
Items that are not supplied include: kindling or fire starters, Fire wood, shampoo, soap, cribs, laundry detergent, Charcoal, dishwashing liquid, plastic wrap, Aluminum foil or any food item(s).
Some Cabins have locked owner closet(s) reserved for owner’s personal item(s). Please respect the owner’s privacy in these areas.

Road Condition Road Condition

Please be advised that all of our cabins are located in Mountainous terrain. We recommend you take every precaution possible to have a safe Trip/ stay. We DO NOT guarantee the condition of the road and the terrain. Each City manages the upkeep of their respective roads so PLEASE make sure to bring/drive an adequate vehicle (FOUR WHEEL DRIVE OR SNOW CHAINS) are highly encouraged and recommended during the required season. Kitchen & Baths Kitchen & Baths

All cabins are equipped with basic necessities but if you are planning on a large cook out you may want to bring the necessary tool(s). We provide an ample supply of dishes, utensils, drinking glasses and pots & pans to accommodate the number of guest each cabin is equipped to entertain. During longer stays it is advised to bring along additional towels, beach towels, laundry detergent, dishwashing liquid, coffee, soap, shampoo as well as any and all necessary everyday items you use at your home.

Security Deposit Security Deposit

In order to insure that properties are maintained and returned at its original condition a security deposit hold (NOT A CHARGE) equaling to one night will be placed on your credit card on the day of your arrival. The hold will remain in effect for up to 24 hours after your departure. If there are no damages or extra cleaning charges the hold will be released. No refund will be displayed on your credit card statement since this is only a hold and not a charge. In the event extra charges exceed the one night, the registered guest(s) accept all responsibilities to the cabin.

The credit card you provide to ARCR will be charged electronically (without any human Intervention/Handling), by accepting the terms of this agreement sent via e-mail you verify that you are the authorized user of the said credit card and have agreed to the terms of this agreement. The remainder of your reservation charges will be processed at least two weeks prior to your arrival. You hereby authorize ARCR to charge the amount that was disclosed to you upon reservation/confirmation to your credit card. You further agree any and all damages to the cabin to be charged to the credit card(s) on File. Please be aware that we DO NOT issue refunds nor replacement due to malfunctioning item (s), weather, road condition, traffic, Early check out or no shows.

You may cancel your reservations by observing the following policy.
Cabins of Gatlinburg is proud to offer top quality travel insurance through CSA travel that covers multitudes of issues that include but not limited to trip cancelation, interruption or delays. CSA offers extensive coverage at a reasonable cost. If you choose not to purchase CSA travelers insurance no refund will be given through Cabins of Gatlinburg for cancelations.

We will try to accommodate you in any way we can and if your reserved cabin is not to your taste we will try to locate a replacement but if there are no replacements available no refunds will be issued.

American Cabins and the property owners make every effort to assure that all descriptions and representations from our rental staff, paper publications and the Internet site are accurate. However, the printing errors or changes done by the owners to update the furnishing of the cabins are subject to change without prior notice. Please note that the square footage is an approximation. Prices, amenities, and/or minimums are subject to change with or without notice. THE RENTAL PRICE IS DETERMINED BY THE RENTAL AGREEMENT AT THE TIME OF MAKING THE RESERVATION.
